In May, 2008, the Reunion Committee started plans for our 40th reunion to be held in 2009. We have had four productive meetings so far and are making good progress.
FIRST PRIORITIES:
- Research potential reunion dates, locations, and entertainment.
- Send classmates an initial notification of the reunion, verify their contact information, and solicit feedback.
- Search for missing classmates.
PROGRESS TO DATE:
- Created overview and detailed plans.
- Created this new Encina Class of 1969 website.
- Researched 11 potential reunion sites.
- Narrowed potential sites down to the Hilton Sacramento Arden West Hotel and the Del Paso Country Club because they both have separate areas (one for the band and dancing and another more quiet area for chatting).
- Chose the Hilton Sacramento Arden West since over 60% of classmates that indicated they are interested in attending the reunion live out of town and due to the significantly lower costs. The Hilton Arden West just completed a 4 million dollar renovation and is looking good! All reunion attendees also qualify for their "Take The Elevator Home" deep discount on guest rooms.
- Signed a contract with the Hilton Arden West to hold our reunion on Saturday, October 3, 2009 which was the closest available date to the month of September which most of those classmates responding to the survey indicated would work best for them.
- Researched several bands to play at the reunion and chose alumni Chuck Dunn's band, The Blues Monsters, to provide live entertainment for our reunion. Check out their website at www.thebluesmonsters.com and check them out in the video below!
- Opened a reunion checking account.
- Opened a reunion PayPal account.
NOW IN THE PROCESS OF:
- Finalizing the ticket price based on estimated attendance, estimated revenue generated by ticket sales, and expenses.
- Creating the capability to 1) make reunion reservations, 2) purchase reunion tickets, and 3) make hotel reservations at discounted rate online from our website by approximately mid-November.
- Stepping up our efforts to find "Missing Classmates".
Our most recent meeting was held on Saturday, October 25, 2008. Agenda items included a review of our estimated budget, further discussion on ticket prices and when to make tickets available for purchase, overview of how our website reunion module works that allows online purchase of tickets and hotel reservations and when to activate it, discussion on researching photographers, and how to coordinate our continued efforts to reach missing classmates and those who have not responded to our efforts to reach them either by letter or email. Our next meeting is scheduled for Friday, November 28, at 5:30 p.m. at the California Cafe in Arden Fair Mall.
